As part of any recruitment process, AdviserPlus collects and processes personal data relating to job applicants. AdviserPlus is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations. There is a Candidates Privacy Notice that you should be aware of along with this Vacancy Privacy Notice and both are held on the recruitment portal.

As defined by the General Data Protection Regulation (GDPR) AdviserPlus is the data controller and ultimately responsible for ensuring the data you provide is kept secure, processed correctly and that you understand your legal rights in relation to the data you provide.  As part of our data controller responsibilities we have an assigned data protection responsibility to the Information Security Manager and they can be contacted at dataprotection@adviserplus.com or at the above address.  

The recruitment software we use via this website is supplied by Net-Worx (2001) Ltd (trading as Networx) and they are defined as a data processor under the GDPR.  They will only process your data in accordance with our instructions.  Networx can be contacted at:

What information do we collect from you?

We collect information that is specifically provided by you as part of an application process.  We will collect the following (but not limited to):

  • Name, address, email, telephone number
  • CV (if applicable)
  • Equal opportunities monitoring information (defined as special categories data) - this information is purely for statistical analysis and monitoring purposes
  • Answers to application questions
  • information about your entitlement to work in the UK; and
  • Any other information you wish to provide in support of your application

Why do we collect this information and who do we share it with?

Details you provide in this application:

  • Will be held on our computer systems and may be downloaded by us
  • Will be used to deal with your application
  • Will be made available to us and our processors
  • Will be used for communication with you regarding the vacancy
  • Will be used to satisfy legal requirements
  • Will be used for statistical analysis
  • Will be held and may be used to contact you about other vacancies

 

AdviserPlus needs to process data to take steps at your request prior to entering into a contract with you. It may also need to process your data to enter into a contract with you.

In some cases, AdviserPlus needs to process data to ensure that it is complying with its legal obligations. For example, it is required to check a successful applicant's eligibility to work in the UK before employment starts.

AdviserPlus has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows AdviserPlus to manage the recruitment process, assess and confirm a candidate's suitability for employment and decide to whom to offer a job. AdviserPlus may also need to process data from job applicants to respond to and defend against legal claims.

AdviserPlus may process special categories of data, such as information about ethnic origin, sexual orientation or religion or belief, to monitor recruitment statistics. It may also collect information about whether or not applicants are disabled to make reasonable adjustments for candidates who have a disability. AdviserPlus processes such information to carry out its obligations and exercise specific rights in relation to employment.

AdviserPlus is obliged by its clients to seek information about criminal convictions and offences. Where AdviserPlus seeks this information, it will seek your consent for the associated data processing, which will be limited to ensuring pre-employment requirements are met.

 

How long does AdviserPlus keep data?

We will store your application data for 6 months after the vacancy has closed. After this period, it will be fully anonymised.

If your application is unsuccessful, AdviserPlus may keep your personal data on file in case there are future employment opportunities for which you may be suited. Your candidate account will remain open for 12 months after last activity and AdviserPlus may contact you to advise you of vacancies, or you can deactivate your account at any time and your data will be fully anonymised

If you are successful through the application stage, as part of our pre-employment checks, we will perform a number of background checks.  We use the following third party provider, Experian to handle your data in order to complete the checks on our behalf.  For information on their privacy policy, please click here to see Experian’s Identify and Fraud Notice.

 

HR System - Cascade

Only if you are successfully recruited, we will upload your details to our HR system, Cascade.  As a member of staff you will sign a contract of employment and agree to additional terms on how your data is handled and stored as detailed in the Employee Privacy Notice.

How can I access the information you hold about me? Your rights

You are able to access and review the personal information supplied when you apply via our website and correct any inaccuracies it may contain.  Candidates who choose to register may access their profile, correct and update their details, or withdraw their details at any time. To do this, candidates can access their personal profile by using their secure login. In all cases we will treat requests to access information or change information in accordance with applicable legal requirements.  

 

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request;
  • require AdviserPlus to change incorrect or incomplete data;
  • require AdviserPlus to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing; and
  • object to the processing of your data where AdviserPlus is relying on its legitimate interests as the legal ground for processing.
  • data portability – where applicable.
